Embedding AI in Legal Workflows - From Occasional Use to Daily Practice
Speaker
Introduction
An AI tool used occasionally is helpful. An AI tool embedded in daily legal workflows is transformative and the difference lies not in technical skill, but in deliberate workflow design.
The highest-performing lawyers are not the most technically advanced; they are the ones who define clear ‘trigger points’ (i.e. after calls, on receipt of counterparty drafts, or at matter milestones) and make AI the default response at those moments.
This short webinar provides a practical playbook for building that system: setting a system prompt with standing instructions, creating a lean prompt library focused on a few high-value prompts and using document layering to ground prompts in real materials such as transcripts, precedents and drafts.
It also covers integrating AI into existing tools like Microsoft 365 Copilot and case management systems, alongside light automation using tools such as Zapier.
Once embedded in workflow design, AI delivers compounding benefits. Consistency improves, quality becomes repeatable and output no longer depends on ad hoc decisions, ensuring the same standard of work across all times and clients.
Verification and confidentiality are built in from the start, with anonymisation, controlled data handling and explicit verification steps, consistent with supervisory expectations in Ayinde v Haringey. Compliance becomes a design feature, not an afterthought.
You will leave with a ‘start-with-one’ plan: identify one trigger point, embed one high-value prompt and use it consistently from the same week, allowing the system to scale through repetition, not complexity.
What You Will Learn
The webinar will cover the following:
- Moving from occasional AI use to embedded workflows and why results depend on deliberate design, not technical skill
- Identifying ‘trigger points’ in legal work where a defined AI step should always run
- Designing a system prompt - setting persona, rules, quality standards and constraints once for consistent use across interactions
- Building a lean prompt library - starting with five high-value prompts, reducing friction and aligning team-wide standards
- Using document layering - grounding prompts in real materials (transcripts, precedents, third-party drafts) for higher-quality outputs
- Working within existing tools - case management AI (e.g. LEAP/LawY), Microsoft 365 Copilot and selecting when to use external tools
- Automating routine tasks with no-code tools (Zapier/Make) - quick-win automations for small firms
- Embedding verification and confidentiality into workflow design, plus a practical two-week, single-workflow implementation plan
This pre-recorded webinar will be available to view from Monday 14th December 2026
